PayPoint Romania is the Romanian subsidiary of the British company with the same name, a leader in the networks of electronic terminals field in local stores. In late 2009, PayPoint group recorded total revenues of 232 million euros, out of which 28.8 million euros emerged from the Romanian market.
In Romania, PayPoint processed this year over 5.5 million bill payment transactions, almost six times higher than the previous year, has over 6,000 corporate customers, its national network comprising more than 22,000 local shops, news agencies and supermarkets. These outstanding results were achieved by a 130 employees. Considering that team performance depends on the level of communication with the management, interaction with the HR department and the degree of access to information, the company pays special attention to the information systems they use.
Situation
One of the concerns of the HR department was to improve and simplify the communication with the team, but also to achieve a more careful scrutiny of all business aspects (payroll, personnel administration, employee performance evaluation, etc.). Following a careful analysis it was concluded that performing internally these activities, with a software solution enabling online communication with the employees but also employees to managers, the company could meet the target. In addition, a greater control over downtime could be gained, including freeing the HR staff from routine activities, allowing thus the transformation of the department, from an information provider into a department that creates added value for the company.

Solution
By implementing Charisma HR, PayPoint Romania has started a new human capital management system, that can be led by the administrative part to organizational development, with emphasis on recruitment and personnel selection, evaluation of performance in career planning and employee trainings.
An absolutely new thing that PayPoint has implemented with TotalSoft’s help, was changing the classical approach of the employees performance evaluation. Employees accountability was pursued by offering them the possibility to establish their goals by themselves. Based on this requirement, TotalSoft has developed a web accessible performance evaluation module, perfectly integrated in Charisma HR. This module contains only one interface that can be accessed alternatively, both by the employees and the manager, the employees having the possibility to establish their objectives by themselves, without being forced to fit in a range of presets that would not match them. The employee benefits from a „blank sheet” where he/she can list major objectives, sheet that will subsequently pass through a set of different management approvals. Following these steps that are taken in a very short time, a discussion will take place between the employee and the manager, and the flow ends until the reporting date, when a new discussion with the manager must take place.
Results
By implementing Charisma HR, it was eliminated the slow performance evaluation, according to which the employee had to pass a series of preset menus that had to be completed even at organizational level; this was not only a time consuming activity, but it was also very poor in terms of results.
Thus, throughout the organization, managers have access to all information concerning their employees: holidays, salary, salary last modification date, trainings history, time sheet of their own team, this access being secure and well defined at each hierarchical level. As a result, the HR field is not a secretive place anymore, where only few people have access to.
