TotalSoft provides BRD - Groupe Société Générale advanced HR Management software solutions

Company

BRD - Groupe Société Générale is the second largest Romanian bank, by the size of assets and part of Group Société Générale, one of the largest banking groups in the euro area. In Romania, BRD - Groupe Société Générale has almost 10 000 employees, through a network of over 800 agencies in all counties. The company has counted 2.4 million active customers and over 2.2 million cards issued until now.

Challenge

In order to increase the quality of the payroll services for both bank employees and subsidiaries, BRD - Groupe Société Générale launched in 2007 a thorough market research aimed at finding the most suitable payroll calculation supplier. 

Moreover, the selected provider was supposed to ensure a software platform to enable a secure collection of all information necessary to process the payroll, which could also be integrated with the software system dedicated to human resource management already used by BRD - Groupe Société Générale

Solution

The solution chosen consisted of Charisma HCM Portal platform, provided by TotalSoft. The conditions imposed by BRD Groupe Société Générale in choosing TotalSoft as a software provider, focused on the one hand, on the integration of Charisma HCM Portal platform with Peoplesoft, application used in all countries where the banking group was present, as well as on a wide range of technical requirements for an increase in the quality of communication with employees, such as sending encrypted payslips via e-mail.

The first phase of the project was the deployment of Charisma HCM Portal software as a platform able to gather the information necessary for the payroll calculation (January 2008). The following month, all BRD Groupe Société Générale employees were already paid by means of the new system, these benefiting at the same time from the new facilities on the payslip: the employees received their payslips in PDF format via encrypted e-mails, with individual passwords generated automatically by the system and sent via SMS.

In short, just one month after the project’s startup, TotalSoft was automatically generating files that were sent as attachments via e-mails to 9,000 recipients, as well as 9000 PINs sent via SMS, tasks that were triggered by a single click and completed in just two hours.

The implementation of the payroll outsourcing system was one of the major performances of the Romanian IT field. In addition to the complexity of such a project, which involves processing monthly salaries for 10,000 employees, the project also involved rigid time constraints, a full configuration and adaptation of Charisma HCM, which was completed in just a few months.

At the end of 2014, BRD Groupe Société Générale decided to manage its human resources activity with TotalSoft’s Charisma HCM. Thus, after 7 years of payroll calculation services offered to BRD group, TotalSoft won the human resources management. The bank chose Charisma HCM to manage the employees, timesheet and non-attendances, compensations and benefits, business intelligence, employees’ career management and training. Furthermore, TotalSoft offered the mobile component of the solution, Charisma HCM Mobile, as well as the Self Service and Alerter modules.

Results

The project beneficiary was the BRD Groupe Société Générale’s HR division. HR Division members have now instant access to all employee data via the system’s web module, Charisma HCM Portal.

With Charisma HCM Portal’s help, at employee’s request,  they generate various certificates, including certificates necessary to obtain bank loans. In case an employee has lost or deleted the e-mail with the payslip, he/she may notify the HR Department to resend it via Charisma HCM Portal.

Among benefits incurred by outsourcing the payroll calculation to TotalSoft, the following can be distinguished:

• It reduces the operational costs by eliminating HR staff hours needed to conduct time consuming  activities, such as the calculation of sick days, requests for certificates, employee information update;
• It reduces stationery costs by replacing printed payslips with electronic ones;
• It increases the productivity of the Human Resources department by facilitating the communication with employees dispersed throughout the country (TotalSoft’s application human resources information is available to all BRD employees in a secure way);
• It motivates and empowers the company’s employees; 
• It provides quick access to employee information by means of a web interface, the information being available from anywhere, at anytime.
